Privacy Policy
Last updated: October 24, 2026
The short version: We collect only what you send us through our contact form, by phone, or by email, and we use it to respond to you and, if you become a client, to provide services. This website uses Google Analytics cookies only if you accept them, and it does not use advertising trackers. If you reach it from a personal link in an email from us, we note that you visited. We do not sell your information.
1. Who we are
Southern Facility Management (“SFM,” “we,” “us,” or “our”) coordinates commercial facility maintenance, repairs, inspections, and emergency response from Birmingham, Alabama. This Privacy Policy explains what personal information we collect through this website, how we use and share it, and the choices you have.
This policy covers this website. If you become a client, our service agreement may describe additional ways we handle information needed to perform the work.
2. Information we collect
Information you give us
When you use our contact form, we collect the details you choose to enter:
- Your name and email address (required, so we can respond)
- Your company, phone number, industry, the number and location of the properties you manage, and your message (all optional)
- A record that you agreed to this Privacy Policy, including the date and time you submitted the form
If you call or email us, we collect the information you share with us in those conversations.
Contact form submissions are saved in our contact management system, which is hosted by Google (Firebase), so that we can follow up with you. They may also be delivered to us by email.
Information from other sources
To contact facility and operations decision makers about our services, we may collect business contact information, such as a name, business title, company, business email address, and business phone number, from publicly available sources like company websites and professional networking profiles.
Information collected automatically
This website is hosted by Google (Firebase Hosting). Like any web host, Google automatically processes standard technical information, such as your IP address, browser and device type, the pages you request, and the date and time, in order to deliver the site and keep it secure. We do not use this information to identify or track individual visitors, except as described below for links in our emails.
Links in our emails
When we email a business contact, the link to our website may include a personal code. If you click it, we record that a visit happened, which page you viewed, and the time, and we attach that to your company’s record in our internal system so we know when to follow up. This does not use cookies or store anything in your browser, and the code is removed from the address bar as soon as the page opens. We do not use it to follow you to other websites. If you would rather not be tracked this way, open our website by typing the address into your browser instead of clicking the link, or contact us and we will delete the records.
What we do not collect
This website does not use advertising or retargeting pixels, session recording, or social media plug-ins. Analytics cookies are used only if you accept them, as described in section 5. Please do not send us sensitive information, such as Social Security numbers, financial account numbers, or health information, through the website.
3. How we use information
- To respond to your questions and requests, including preparing quotes and proposals
- To arrange and perform services and manage our relationship if you become a client
- To follow up about your request, or to reach out about our services to business contacts, by email or phone
- To keep business, tax, insurance, and legal records
- To protect the website and our business against spam, fraud, and misuse
- To comply with the law and enforce our agreements
4. How we share information
We share personal information only as needed, and only in these ways:
- Service providers. Companies that help us run the website and our business, acting on our instructions. These include Web3Forms, which processes contact form submissions and delivers them to us by email, and Google, which hosts this website, stores our contact records, provides our email and productivity tools, and, only if you accept analytics cookies, measures website traffic. These providers may receive technical information, such as your IP address, when they process your request.
- Subcontractors and vendors. If you ask us to arrange or perform work, we share the details needed to do it, such as the property address, the site contact, and a description of the issue, with the qualified subcontractor assigned.
- Legal and safety. When required by law, legal process, or a government request, or to protect the rights, property, or safety of SFM, our clients, or others.
- Business changes. If SFM is involved in a merger, sale, or similar transaction, information may be transferred as part of that transaction.
We do not sell your personal information, and we do not share it with third parties for their own marketing or for cross-context behavioral advertising.
5. Cookies
This website uses Google Analytics, a web analytics service from Google, but only if you click Accept on the cookie banner. If you accept, Google sets cookies on your device (named _ga and _ga_ followed by an identifier) and receives information such as your IP address, device and browser type, the pages you view, how you reached the site, and your approximate location. We use this to see how many people visit and which pages they read. We have turned off Google signals and ad personalization, and we do not use this information for advertising. If you decline, or ignore the banner, Google Analytics does not load. You can change your choice at any time with Cookie settings in the footer. Learn how Google uses data from sites that use its services at policies.google.com/technologies/partner-sites. See our Cookie Policy for details.
6. Email, phone, and text communications
By submitting our contact form, you agree that we may contact you about your request by email or phone, using the details you provide. Our commercial emails identify us as the sender and give you a way to opt out. You can ask us to stop contacting you at any time by telling us, and we will honor your request within 10 business days. We will not send you marketing text messages unless you separately agree to receive them.
7. How long we keep information
We keep personal information for as long as we need it for the purposes described in this policy, including to respond to you, to provide services, and to meet tax, accounting, insurance, and legal record-keeping requirements. When we no longer need it, we delete or de-identify it.
8. How we protect information
We use reasonable administrative, technical, and physical safeguards, including encrypted (HTTPS) connections for this website. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If a security incident affects your personal information, we will notify you and any regulators as required by applicable law.
9. Your choices and rights
You can contact us at any time to ask what personal information we hold about you, to correct it, to delete it, or to stop us from contacting you. We will respond within the time required by law, generally within 45 days. We may need to verify your identity first, and we may keep information that we are required or permitted by law to retain.
Depending on where you live, you may have additional privacy rights under state law, such as the right to access, correct, delete, or obtain a copy of your personal information, and to opt out of the sale or sharing of personal information or of targeted advertising. We do not sell or share personal information and we do not use it for targeted advertising. You will not be treated differently for exercising a privacy right, and you may use an authorized agent to make a request for you.
Do Not Track and Global Privacy Control. This website does not track visitors across other websites and does not sell or share personal information, so there is nothing to opt out of. For that reason, the site does not change its behavior when your browser sends a Do Not Track or Global Privacy Control signal.
10. Children
This website is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has given us personal information, please contact us and we will delete it.
11. Visitors outside the United States
We operate in the United States, and this website is intended for visitors in the United States. If you contact us from elsewhere, your information will be transferred to and processed in the United States.
12. Changes to this policy
We may update this policy from time to time. We will post the updated version on this page with a new “Last updated” date. If we make a material change to how we use personal information, we will take additional steps to notify you where the law requires it.
